At Media Track (Formerly National Advertising & Marketing), we are committed to delivering high-quality outdoor advertising, branding, and media solutions with complete transparency and professionalism. With over 40 years of enriched experience in outdoor marketing activities, we understand the importance of maintaining fair business practices for both our clients and our organization.

This Refund & Cancellation Policy outlines the terms under which advertising bookings, branding projects, printing services, and other media solutions may be cancelled or refunded. By confirming a booking or availing any of our services, you acknowledge and agree to the terms stated below.

Booking Confirmation

A project or advertising campaign is considered confirmed only after:

  • Acceptance of the quotation or proposal.
  • Written approval from the client.
  • Receipt of the agreed advance payment.
  • Final approval of artwork and campaign details.
  • Confirmation of media location availability.

Once these requirements are fulfilled, Media Track begins planning, media reservations, production, and execution of the campaign.

Cancellation Policy

Clients may request cancellation of a project by submitting a written request through email or other official communication channels.

Cancellation requests will be reviewed based on the current stage of the project.

Before Project Execution

If the cancellation request is received before any work has commenced, Media Track may approve the cancellation after deducting any administrative or processing charges incurred.

After Campaign Planning

If campaign planning, media booking, creative designing, or production activities have already begun, cancellation charges may apply based on the work completed.

After Printing Has Started

Once printing, fabrication, or production has commenced, cancellation may not be possible as materials, labor, and production costs have already been incurred.

After Installation or Campaign Launch

No cancellation requests will be accepted after:

  • Advertisement installation.
  • Campaign activation.
  • Media display commencement.
  • Transit media deployment.
  • Delivery of completed services.

Refund Policy

Refunds are processed only in circumstances where Media Track determines that the client is eligible according to this policy.

Refunds may be considered under the following circumstances:

  • Duplicate payments made by the client.
  • Payments received due to technical transaction errors.
  • Cancellation approved before project execution.
  • Services that cannot be delivered due to reasons solely attributable to Media Track.

Non-Refundable Services

The following are generally non-refundable:

  • Media booking charges.
  • Advertisement space reservation fees.
  • Printing and production costs.
  • Design and creative development charges.
  • Fabrication expenses.
  • Installation charges.
  • Transportation and logistics expenses.
  • Government permissions or licensing fees already paid.
  • Vendor payments already committed.

Customized Branding Projects

Since customized branding solutions are specifically developed according to individual client requirements, they cannot be refunded once:

  • Creative concepts have been approved.
  • Designing work has commenced.
  • Printing has started.
  • Production materials have been ordered.
  • Installation has been scheduled.

Transit Media Campaigns

Transit media campaigns involve advance coordination with transport authorities and media owners.

Once media inventory has been reserved or booked, cancellation charges may apply, and refunds may not be available depending on the agreements with third-party vendors.

Printing Solutions

Our in-house printing services begin immediately after artwork approval.

As printing involves customized production, refunds cannot be provided after:

  • Artwork approval.
  • Printing commencement.
  • Material procurement.
  • Production completion.

Clients are requested to carefully verify all artwork before granting final approval.

Delays Beyond Our Control

Media Track shall not be responsible for delays caused by:

  • Weather conditions.
  • Government restrictions.
  • Municipal regulations.
  • Public holidays.
  • Natural disasters.
  • Force majeure events.
  • Technical failures.
  • Vendor delays.
  • Transportation disruptions.

Such circumstances do not automatically qualify for refunds; however, we will make reasonable efforts to reschedule or provide suitable alternatives whenever possible.

Refund Processing

Where a refund is approved:

  • Refunds will be processed using the original payment method wherever possible.
  • Processing may take 7 to 15 business days, depending on banking procedures.
  • Any applicable taxes, third-party charges, or administrative deductions may be adjusted before issuing the refund.

Client Responsibilities

To avoid unnecessary delays or cancellation charges, clients are requested to:

  • Provide complete campaign requirements.
  • Submit accurate artwork.
  • Approve designs promptly.
  • Make payments according to agreed schedules.
  • Review all proofs carefully before printing.

Failure to provide timely approvals may affect campaign timelines and refund eligibility.

Changes to Bookings

Clients wishing to modify campaign dates, media locations, artwork, or project specifications should contact Media Track at the earliest opportunity.

While we will make every reasonable effort to accommodate requested changes, modifications remain subject to media availability, production schedules, vendor approvals, and additional costs where applicable.
